Use this worksheet with your team to identify the current owner, missing information, and next action for each billing handoff. Print it to add notes, or bring a summary to your call with George.
The examples illustrate administrative workflows, not payer requirements or Bomi service commitments. Keep patient information in your own secure systems.
01
Which organization bills each service?
Create one row for each service category. Record the billing organization, system, and person responsible for the claim. Keep services billed outside your practice on separate rows.
Example: Office follow-up → practice billing team; outside lab work → laboratory billing contact. Confirm the actual arrangement.
Record: Service category / billing organization / system / owner
02
Who owns outside-lab and supplier requests?
Record the destination for orders and supporting information, how requests come back, and who checks that a request was received.
Example: A supplier asks for missing documentation → named staff member routes the question to the treating clinician.
Record: Supplier or lab / request type / contact / follow-up owner
03
Where do referrals, authorizations, and documentation questions go?
For each main payer and service, identify where your team checks requirements and stores dated answers. Give unresolved questions an owner.
Example: A referral question is flagged before claim submission → staff checks the applicable plan and records the response.
Record: Payer and service / source and date / open question / owner
04
How will open claims be handled during a change?
Summarize unpaid claims by age and reason without patient details. Define the old/new work cutoff and keep responsibility for each group explicit.
Example: Claims before a proposed handoff date remain with the current biller unless a separate cleanup scope is agreed.
Record: Claim period / unresolved reason / current owner / proposed next step
05
Who reviews patient balances and payer responses?
Document who reviews payer responses, identifies items needing correction, and approves a balance communication.
Example: A balance question needs a payment-posting review → hold the question with a named owner until the review is complete.
Record: Review task / current owner / escalation contact / review frequency
